Notion offers no way to name a beneficiary or successor on an account; another person keeps control of a workspace only as one of its workspace owners.1

- Family plans and household sharing
Notion has no family plan or household sharing; access to a workspace is a matter of workspace roles.1
- Workspace roles and admin access
Notion's roles article lists members, restricted members, guests, temporary members, workspace owners, membership admins and organization owners. Its summary list labels workspace owners and membership admins as Enterprise Plan only.1
The same article describes workspace owners as admins who manage workspace settings, delete the workspace and manage other owners, admins, members and guests, and states that every workspace has at least one owner and that members can be made owners.1
A workspace owner, or on Enterprise a membership admin, makes someone an owner from Settings, People or Members, through the dropdown next to the member's role. Guests are invited page by page and cannot adjust workspace settings or billing.2
If the sole owner's account becomes unreachable and no other owner exists, nobody else can manage billing, delete the workspace or run a workspace-level export.2
- Exporting and backing up data
A workspace exports from Settings, Workspace, General, Export all workspace content; Notion emails a download link that expires after 7 days, an export can take up to 30 hours, and on Enterprise an owner can disable export under Settings, Security.3
A page exports as PDF, HTML or Markdown & CSV, with the PDF Include subpages option on Business and Enterprise. A database exports only its current or default view, pages the exporter cannot access are left out, and an export cannot be re-uploaded to recreate a workspace.3
A Notion Site has no standalone export with its styling, custom domain or SEO settings; its underlying pages export as HTML or PDF.4
- Transferring the account or registration
Moving content between workspaces duplicates it, and links, relations, permissions and page history may break in the process; Notion recommends keeping the original until the copy is right, and limits duplication to 50,000 blocks per hour.5
Should you save your passwords for your family?
Some people store account passwords so a family member can sign in later. The practice has three practical limits:
- Two-factor authentication often blocks it. Most accounts require a second factor — a code sent to a phone, an authenticator app, a passkey, or a physical key. A saved password alone frequently does not grant access, and the recovery codes that would are easy to lose or let go stale.
- It usually conflicts with the platform's terms. Most operators prohibit account sharing and signing in as another person, including after a death. Stored credentials are not the operator's recognized access path, and using them can violate the terms of service.
- Operators provide other paths. Where an operator offers a designation tool — Apple's Legacy Contact, Google's Inactive Account Manager, a beneficiary designation — that mechanism grants access the operator recognizes. A password manager's own emergency-access or legacy feature passes credentials through a controlled process. Digital assets named in a will or trust give a fiduciary authority under each state's Revised Uniform Fiduciary Access to Digital Assets Act (RUFADAA).
