How to protect your Notion accounts

8 steps for managing your Notion accounts during your lifetime:

Make sure at least one other person is a Workspace owner on any workspace that should survive you. If you are the only owner and your account becomes unreachable, nobody else can manage billing, delete the workspace, or run a workspace-level export. Notion's dormancy policy also exempts owners of a multi-user workspace, so a second owner changes the deletion picture as well as the access picture.

Promote your successor to Workspace owner rather than leaving them a member or (on Enterprise) a membership admin. Notion describes membership admins as able to add or remove members without the ability to change workspace settings, which is not enough to keep a workspace running.

Export your workspace periodically and store the archive outside Notion. Settings, Workspace, General, Export all workspace content produces the archive; the emailed link expires after 7 days and a large workspace can take up to 30 hours to process, so do it on a calendar rather than in a hurry. Note that a database export captures only the current or default view, and that Notion states an exported archive cannot be re-uploaded to recreate the workspace.

Treat private pages as the hard case. Content in your private section is not visible to other members, and only Enterprise workspaces have a mechanism to reassign a departed user's private pages, within 30 days of their leaving. Move anything your family or colleagues will need out of your private section and into a shared teamspace while you can.

If you plan to consolidate content into a workspace that will outlive you, do it early and check the result. Notion states that moving content between workspaces duplicates it and that links, relations, permissions, and page history may be broken in the process, and it recommends keeping the original until you are sure the copy is right. There is also a duplication rate limit of 50,000 blocks per hour.

Document the billing as well as the content: which workspaces are on a paid plan, which payment method funds them, and who else is an owner. Note for your executor that deleting a workspace does not cancel its subscription, so the plan has to be downgraded first.

Leave your executor a plain list of your Notion account email, your workspace URLs, each workspace's plan, and the other owners. Add the contact route Notion actually publishes: message support from inside the product or email team@makenotion.com, and note the 30-day restore window that applies after a deletion.

If you rely on Notion API integrations, list them and the outside systems that depend on them. Integration tokens are tied to the workspace, so an ownership change or a deletion has effects beyond Notion itself.

Family sharing

Notion has no family plan or household sharing. Access is a workspace-role question. Notion's current roles article lists members, restricted members, guests, temporary members, workspace owners, membership admins, and organization owners. Workspace owners are described as admins who can manage workspace settings, delete a workspace, and manage other workspace owners, admins, members, and guests, and Notion states that every workspace has at least one owner and that members can be turned into workspace owners. Ownership transfer is not a separate flow: a workspace owner (or, on Enterprise, a membership admin) goes to Settings, People or Members, opens the dropdown next to a member's role, and selects Workspace owner. Guests are invited page by page and cannot adjust workspace settings or billing. If the sole owner's account becomes unreachable and no other owner exists, nobody else can manage billing, delete the workspace, or run a workspace-level export. Note one inconsistency in Notion's own roles article as read on 2026-09-16: its summary list labels "Workspace owners" and "Membership admins" as Enterprise Plan only, while the body of the same article states that every workspace has at least one owner and that members can be turned into workspace owners. Both readings are recorded here rather than resolved.

Should you save your passwords for your family?

Some people store account passwords so a family member can sign in later. The practice has three practical limits:

Two-factor authentication often blocks it. Most accounts require a second factor — a code sent to a phone, an authenticator app, a passkey, or a physical key. A saved password alone frequently does not grant access, and the recovery codes that would are easy to lose or let go stale.
It usually conflicts with the platform's terms. Most operators prohibit account sharing and signing in as another person, including after a death. Stored credentials are not the operator's recognized access path, and using them can violate the terms of service.
Operators provide other paths. Where an operator offers a designation tool — Apple's Legacy Contact, Google's Inactive Account Manager, a beneficiary designation — that mechanism grants access the operator recognizes. A password manager's own emergency-access or legacy feature passes credentials through a controlled process. Digital assets named in a will or trust give a fiduciary authority under each state's Revised Uniform Fiduciary Access to Digital Assets Act (RUFADAA).

Pages the exporter cannot access, such as another user's private pages, are left out. Notion also states that a database export captures only the current or default view, that exporting all views at once is not supported, and that a workspace cannot be recreated by re-uploading its exported content. On Enterprise, a workspace or teamspace owner can switch export off entirely.

Notion has no legacy contact, delegate, or authorized-user feature for a personal account, and its Terms state that sharing a user login or password is prohibited, so handing over credentials is not the answer. The native mechanism is workspace-level: add the person to any workspace that should survive you and make them a Workspace owner, so they can export and manage it from their own account. A personal account whose workspaces have no second owner has no Notion-native succession path, which is why a periodic export stored outside Notion matters more here than on platforms with an estate channel.

No. Notion states that deleting a workspace does not cancel its subscription, and that the plan has to be downgraded before deleting in order to stop the charge. An executor closing things out should treat the billing and the content as two separate steps, and should confirm the plan has been downgraded rather than assuming that deleting the workspace ended the charge.

Listing the Notion account in an estate inventory identifies it for a fiduciary, who works through the operator's official channels to manage or close it.

Notion does not support beneficiary designations. Unlike financial accounts, there is no way to name a beneficiary on this type of account.
