After a Charter Oak FCU member dies, the Member Services - Death Claims manages the transfer of accounts. POD-designated and trust-owned accounts pass directly to beneficiaries. Accounts held solely in the member's name may require probate court documents—Letters Testamentary or Letters of Administration—before funds can be released.

The claim process can be initiated by phone at (860) 446-8085 or by sending documentation to contactcenter@cofcu.com. Have the account holder's full name, account numbers, and a certified death certificate available when making initial contact.

Death claim process

The death claim process at Charter Oak FCU works as follows:

Filing a claim

1
Notify Charter Oak as soon as possible after the death:
  • Call (860) 446-8085 or (800) 962-3237
  • Or visit a local branch
2
Provide a certified copy of the death certificate
3
Charter Oak reviews the account type and ownership structure to determine the distribution path
4
Settlement path depends on account ownership:
  • Joint accounts: the surviving joint owner continues to use the account normally
  • Single owner with POD: Charter Oak closes the account and distributes funds to the designated beneficiaries upon verification
  • Single owner without POD: funds are distributed to the estate; executor provides Letters Testamentary or Letters of Administration from probate court
5
Claimants provide identification and documentation:
  • Beneficiaries provide government-issued photo ID to claim funds
  • Trust beneficiaries: successor trustee provides trust documents, death certificate, and trustee identification
6
Special account types follow separate rules:
  • IRA accounts pass to the designated beneficiary; distribution election forms are required
  • HSA accounts: if spouse is named beneficiary, the HSA transfers to the surviving spouse; if non-spouse is named, the account ceases to be an HSA and the fair market value becomes taxable income to the beneficiary

Required Documents

  • Certified copy of the death certificate
  • Government-issued photo ID for each beneficiary or claimant
  • Letters Testamentary or Letters of Administration (when account has no POD designation and no joint owner)
  • Complete trust document or Certificate of Trust (when trust is named beneficiary)
  • Small estate affidavit (for estates under the CT small estate threshold)
  • IRA beneficiary distribution election forms (for retirement accounts)

Contact Charter Oak as soon as possible after a death to prevent unauthorized transactions. Early withdrawal penalties on certificates may be waived upon the primary member's death. Visa credit card balances become a liability of the estate. Power of Attorney becomes void at death and cannot be used to settle accounts. NCUA insurance coverage on joint and POD funds continues for up to six months after the date of death.

How long the process takes at Charter Oak FCU: Joint accounts transfer immediately. POD accounts are typically processed within 5-10 business days after receipt of required documents. Estate accounts requiring probate documentation may take 30-90 days. The most common reason for delays is missing or incomplete documentation, so submitting everything upfront is the best way to keep things moving.

Charter Oak FCU requires several documents to process a claim, including Certified copy of the death certificate, Government-issued photo ID for each beneficiary or claimant, and Letters Testamentary or Letters of Administration (when account has no POD designation and no joint owner), and additional documentation depending on the account type. Certified copies are typically needed—photocopies are generally not accepted for death certificates or court documents.

Frequently asked questions

Visit any Charter Oak branch or call (860) 446-8085 or toll-free (800) 962-3237 to request a POD (Payable on Death) beneficiary designation form. Complete the form with your primary and contingent beneficiary information, have all account owners sign it, and return it to Charter Oak. You may update your beneficiaries at any time by submitting a new signed form. POD designations cannot be completed online.

Charter Oak's HSA earns 1.50% APY and is a tax-advantaged account for members enrolled in a High-Deductible Health Plan (HDHP). Contributions are pre-tax or tax-deductible, and qualified medical withdrawals are tax-free. If a spouse is named as the beneficiary, the HSA transfers to the surviving spouse and remains an HSA. If a non-spouse beneficiary is named, the account ceases to be an HSA and the fair market value becomes taxable income to the beneficiary. The account is fully portable across jobs.

Charter Oak reviews each account's ownership structure. Joint accounts pass to the surviving joint owner automatically. Single-owner accounts with a POD (Payable on Death) designation are distributed to the named beneficiaries after Charter Oak receives a certified death certificate and verifies the beneficiaries' identities. Single-owner accounts without POD or joint ownership require probate; the executor must provide Letters Testamentary or Letters of Administration. IRA accounts pass to the designated beneficiary. Contact Charter Oak at (860) 446-8085 or (800) 962-3237 as soon as possible after a death.

Early withdrawal penalties on share certificates may be waived upon the primary member's death. Contact Charter Oak at (860) 446-8085 or (800) 962-3237 to confirm the policy for a specific certificate. NCUA insurance coverage on joint and POD funds continues for up to six months after the date of death.

Charter Oak FCU's Member Services - Death Claims can be reached by phone at (800) 962-3237 and email at contactcenter@cofcu.com for questions throughout the claims process.

When the deceased had multiple Charter Oak FCU accounts, some may need separate claims while others can be handled together. The Member Services - Death Claims can clarify what's needed for each account type.
