How to protect your Canva accounts

Here are 8 steps to protect and manage your Canva accounts while the account is active:

If you own a paid team, nominate a successor owner now. The nomination is the only ownership transfer Canva documents, and only the current owner can start it — which means it cannot be started after you die. The nominee has 30 days to accept. Update the team payment method before the transfer, because it cannot be changed afterward.

Keep at least one other admin on the team, and make sure ownership transfer is switched on. Admins can transfer a departing member's designs while removing them from the team. Ownership transfer is on by default, but a team created before June 1, 2026 has to enable it under Settings > Controls first.

Run a bulk download periodically. Canva can package your uploads, designs, and personal data into a ZIP file from Account Settings. It is desktop only, takes 24 to 72 hours, and the download link is valid for 14 days. On a team, only the team owner can export team content. This is the single most useful thing you can do, because it puts your work somewhere your family can reach without going through Canva at all.

Export the designs that matter most in a portable format. Canva's native format is proprietary and cannot be opened in other design tools. Exports (PNG, JPG, SVG, PDF, PPTX, DOCX) are flattened, so layers and text editability are lost — which is a reason to export the finished artwork, not to rely on Canva as the archive.

Move important designs out of personal drafts and into shared team folders where another member already has access.

Back up Brand Kit assets (logos, colors, fonts, brand voice) outside Canva. They are team-level assets that live with the team, not with a member, and they go when the team goes.

If you publish Canva Websites, keep the source material elsewhere. Canva Websites are hosted only on Canva and cannot be exported as standalone HTML, so they go offline if the account is deleted.

Write down your Canva account email, your team name, and whether the plan renews automatically, and leave that with your executor along with a digital-assets clause in your will or trust. Canva has no estate process, so an executor is writing a cold letter — the account email and a consent clause are what give that letter something to work with. Do not leave your password; that is not how a custodian is supposed to release an account, and it is not what your executor needs.

Family sharing

A Canva team has a single Owner who controls billing, team deletion, bulk data downloads, and ownership transfer. The Owner can nominate a new owner from among existing team members; the nominee has 30 days to accept, and the Owner stays the Owner until they do. The team payment method must be updated before the transfer, because it cannot be changed afterward. Admins can manage members, content, Brand Kits, and permissions but cannot transfer team ownership. Design ownership is separate: on Canva Teams, Business, or Enterprise, an admin can transfer a departing member's folders, designs, templates, videos, audio, media uploads, and shared content to another member as part of removing them from the team — not if the member leaves on their own. The transfer runs in minutes (larger ones can take over 30 minutes), cannot be undone, and does not carry over comments or activity history. Ownership transfer is on by default, but a team created before June 1, 2026 must enable it under Settings > Controls first; once enabled, content can be transferred right away. Canva Teams is closed to new sign-ups and upgrades, so newer paid workspaces are Canva Pro, Business, or Enterprise. Personal accounts have no transfer mechanism at all. If a team's Owner is gone, Canva's help center says only the Owner can request a team ownership transfer and directs team members to contact Canva through the Help Assistant, which is a support request, not a published estate route.

Should you save your passwords for your family?

Some people store account passwords so a family member can sign in later. The practice has three practical limits:

  • Two-factor authentication often blocks it. Most accounts require a second factor — a code sent to a phone, an authenticator app, a passkey, or a physical key. A saved password alone frequently does not grant access, and the recovery codes that would are easy to lose or let go stale.
  • It usually conflicts with the platform's terms. Most operators prohibit account sharing and signing in as another person, including after a death. Stored credentials are not the operator's recognized access path, and using them can violate the terms of service.
  • Operators provide other paths. Where an operator offers a designation tool — Apple's Legacy Contact, Google's Inactive Account Manager, a beneficiary designation — that mechanism grants access the operator recognizes. A password manager's own emergency-access or legacy feature passes credentials through a controlled process. Digital assets named in a will or trust give a fiduciary authority under each state's Revised Uniform Fiduciary Access to Digital Assets Act (RUFADAA).
