How to protect your Upwork balance

Here are 5 steps to protect and manage your Upwork balance while the account is active:

Record the email address used on the Upwork account and note that an unwithdrawn available balance is recoverable money. List Upwork in your asset inventory if you regularly carry a balance, so your executor knows to claim it rather than assume it is lost.

Withdraw or set up automatic withdrawals for your available balance so earnings move to your own bank, PayPal, or Payoneer account regularly. Funds sitting in the Upwork balance require the estate-recovery process to retrieve; funds already in your bank pass through your normal estate.

Note the payment method on file (ACH, Direct to Local Bank, PayPal, or Payoneer). Upwork distributes a deceased freelancer's funds through the previously designated payment method, so an executor needs to know where the money will land — and Upwork can move funds to a different method if the original is closed.

Document the documents Upwork requires for your executor: the official death certificate, proof of beneficiary status, and the requester's identification, sent to legalnotices@upwork.com. Understand that your Job Success Score, Top Rated status, and reputation cannot be inherited and end with the account.

If you operate an Upwork client (company) account with open fixed-price contracts, note that any money you have deposited in escrow is held by Upwork and is refundable to your billing method when a contract ends with funds unreleased. Make sure your executor knows which contracts are in progress and have escrow balances.

Family sharing

Upwork does not offer family sharing or pooling for a freelancer account or its balance. Upwork allows one account per person, and selling, sharing, or transferring a freelancer account is prohibited. The available balance is not shared with others on the platform; it can only be withdrawn to the freelancer's own designated payment method. On the client side, Upwork does publish a separate process for transferring ownership of a client (company) account to another person, which is distinct from the freelancer estate process.

Should you save your passwords for your family?

Some people store account passwords so a family member can sign in later. The practice has three practical limits:

  • Two-factor authentication often blocks it. Most accounts require a second factor — a code sent to a phone, an authenticator app, a passkey, or a physical key. A saved password alone frequently does not grant access, and the recovery codes that would are easy to lose or let go stale.
  • It usually conflicts with the platform's terms. Most operators prohibit account sharing and signing in as another person, including after a death. Stored credentials are not the operator's recognized access path, and using them can violate the terms of service.
  • Operators provide other paths. Where an operator offers a designation tool — Apple's Legacy Contact, Google's Inactive Account Manager, a beneficiary designation — that mechanism grants access the operator recognizes. A password manager's own emergency-access or legacy feature passes credentials through a controlled process. Digital assets named in a will or trust give a fiduciary authority under each state's Revised Uniform Fiduciary Access to Digital Assets Act (RUFADAA).
